Description

As the Office Admin/Sample Coordinator you will be responsible for managing day-to-day office administrative tasks while also overseeing the sample coordination process for the sourcing team. This role involves organizing and maintaining office operations, as well as ensuring the efficient handling, tracking, and distribution of product samples, materials, or prototypes. The ideal candidate will be highly organized, detail-oriented, and proactive in managing both administrative duties and sample-related activities.

This is an onsite role, M-F 8a-5P at our Hazelwood, MO office location.

Responsibilities:

  • Manage office supplies, equipment, and inventories to ensure a smooth and efficient work environment.

  • Assist in scheduling meetings, appointments, and travel arrangements for team members.

  • Handle correspondence and internal communications between departments.

  • Organize and manage office space, ensuring it remains clean, safe, and efficient.

  • Support the management team with administrative tasks as needed.

  • Prepare reports, presentations, and other documents as required.

  • Oversee the receipt, organization, and tracking of product samples, materials, or prototypes.

  • Ensure samples are properly labeled, cataloged, and stored for easy access by relevant teams.

  • Coordinate the distribution of samples to the appropriate internal departments or manufacturing partners both domestic and international.

  • Work with the category management, sourcing, marketing, project management, and warehouse teams to ensure timely delivery of samples for approval and/or review.

  • Monitor sample inventories and reorder samples as necessary to maintain requested stock.

  • Maintain accurate records of international sample shipments and shipping status updates.

  • Communicate with both domestic and international vendors and suppliers regarding sample requests and deliveries.

  • Track and report on sample costs, budgets, and timelines.

  • Ensure sample quality and compliance with company standards.

  • Serve as a liaison between departments, suppliers, and clients regarding sample-related inquiries.

  • Provide regular updates on sample availability, shipment status, and office-related activities.

  • Assist in preparing and distributing sample reports for sourcing team to include category management and other teams.

  • Communicate effectively with internal teams to prioritize and expedite the sample coordination process.

Requirements:

  • High school diploma or equivalent; additional administrative or business training is a plus.

  • Previous office administration experience, particularly in a sample coordination or similar role, is highly preferred.

  • Strong organizational and time-management skills to handle multiple tasks and priorities.

  • Ability to ensure accuracy in tracking, labeling, and organizing samples and office records.

  • Excellent verbal and written communication skills to interact with various internal teams, domestic/international suppliers, and vendors.

  • Ability to address issues proactively and resolve any challenges related to samples or office administration.

  • Proficiency in Microsoft Office Suite (Excel, Word, Outlook) and familiarity with inventory management or sample-tracking software.

  • Capability to handle both office admin tasks and sample coordination responsibilities simultaneously.
