JobSummary: As the bookseller responsible for Indirect Purchasing, you will play a pivotal role in managing supply needs across Barnes & Noble, Tattered Cover, Paper Source stores, Distribution Centers and the Home Office. You will interact with the store, home office and DC teams, helping them find supply items and answering questions. You help oversee the procurement process, analytics, and management day-to-day supplies, fixtures and furniture needs. Your responsibilities will include collaborating with various departments to fulfill supply requests and ensuring efficient operations.
An employee in this position can expect a starting rate of $70,000 annually, depending on experience, seniority, geographic locations, and other factors permitted by law.
This role will be based in our New York, NY headquarters.
WhatYouDo:
• Manage and prioritize work orders in the FF&E email box, assigning tasks to team members, including yourself & vendors as appropriate.
• Utilize analytics tools to run reports from ServiceChannel, ensuring timely follow-up on supply orders and maintaining accurate work order statuses & schedule dates.
• Manage vendor relationships and follow up to resolve open action items and issues.
• Conduct monthly reviews of vendor inventories, highlighting any issues for the director and addressing as needed.
• Forecast needs of inventory levels with vendors based on historic order volumes.
• Update and maintain supply module catalogs to ensure current item numbers and pricing.
• Assist in closing and new & closing store supply orders, tracking deliveries, and ensuring timely fulfillment.
• Collaborate with Creative, Operations, Merchandising, and other cross-functional teams as needed to address supply-related inquiries.
• Ensure accuracy in all communications regarding supplies before distribution.
• Troubleshoot for your customers & vendors where needed.
• Look for opportunities to reduce waste and identify green initiatives.
• Oversee departmental invoicing, ensuring accuracy and efficient tracking of all purchases.
• Conduct ad-hoc data analysis work as needed.
• Assist cross functional partners with recommendations of items from approved vendors within spend limits.
• Complete special projects or other duties as assigned.
Knowledge&Experience:
• Bachelor’s degree in business administration or a related field.
• One to three years of experience in procurement sourcing, supply chain or retail operations.
• Technical organization skills with a background in purchasing and retail operations.
• Strong communication skills to interact effectively with peers, field employees, contractors, and internal stakeholders.
• Demonstrated integrity and trustworthiness, capable of admitting mistakes and maintaining honesty.
• Ability to manage multiple projects concurrently in a high-volume environment.
• Ability to accomplish department objectives by meeting work standards
• Solid decision-making abilities, skilled at adapting to changing conditions.
• Excellent written and verbal communication skills.
• Experience meeting deadlines and be an independent worker
• Ability to learn proprietary software programs
• Proficiency in Microsoft Word, PowerPoint, Access, and Outlook.
• Exceptional expertise in Excel for data analysis and reporting.
• Knowledge of Smartsheet, Service Channel or other ticketing & supply channel software
