The Amex Digital Labs team drives innovation at American Express by originating, incubating, and managing products and platforms that are essential to our customers’ digital lives. We are a fast-paced global team that leverages emerging technologies to develop digital payment and financial services products, AI-powered solutions, and engaging membership experiences.
How will you make an impact in this role?
The Amex Digital Labs team is looking for an Executive Administrative Assistant (EA) to provide day-to-day administrative support including expense and travel management for the VP, Emerging Platforms and one additional VP.
The Executive Assistant will play a foundational role in supporting a full team within the organization while also providing dedicated administrative support to an additional VP, demonstrating exceptional organizational skills, strong attention to detail, and a proactive approach to anticipating needs and adapting to shifting priorities. This New York–based role requires in-office presence at least 3 days per week and involves managing diverse administrative tasks, coordinating special projects, and handling ad hoc requests while exercising sound judgment, discretion, and professionalism when partnering with senior leaders. The ideal candidate is seasoned, resourceful, confident under pressure, adept at navigating large organizations, and skilled at building strong relationships, with a genuine enthusiasm for learning about the team’s work and contributing to broader team initiatives and team-building.
Key Responsibilities include:
Oversee daily, weekly, and monthly calendar management, ensuring multiple VP calendars are organized and updated proactively
Review calendars independently to identify and resolve potential conflicts in upcoming weeks
Handle general follow-ups and send reminders to support timely completion of deadlines and commitments
Coordinating logistics for meetings, both in-person and via Webex
Collaborating with other administrative assistants on office operations
Partner closely with Executive Office to maintain headcount reports, organizational charts, and team distribution lists
Arrange travel, including flights, hotels, car transfers, and meeting itineraries
Preparing and processing expense reports and invoices promptly; reviewing expenses submitted for approval and flagging any out-of-policy spending, and tracking invoice payment status
Organizing internal and external business meetings, such as Town Halls, including sending invitations, booking rooms, and arranging catering as needed
Play an active role in organizing and executing team activities that strengthen and sustain team culture
Other ad hoc administrative tasks as required
Minimum Qualifications:
Previous executive administrative support experience within a start-up or large organization
Self-motivated, proactive team player, solutions-oriented, and reliable
Exceptional organizational, administrative, and interpersonal skills
Keen attention to detail and a sense of urgency in execution and follow-up
Ability to prioritize multiple tasks and work autonomously with minimal guidance
Strong integrity and ability to handle confidential/sensitive information with discretion
Strong written and verbal communication skills
Proficiency in Microsoft Outlook and Office, including Word, PowerPoint, and Excel
Preferred Qualifications:
- Knowledge of Microsoft Copilot, Airtable, ChatGPT a plus

Salary Range: $31.49 to $49.28 hourly bonus benefits
