DESCRIPTION

We are looking for a talented onsite Branch Administrative Assistant to join our Team specializing in Logistics for our branch in White Bear Lake, Minnesota.

In this onsite role, you will make an impact in the following ways:

  • Coordinates, documents, gathers and inputs data related to assigned administrative support duties for a team, department, function or other organizational leader/group. Completes work under direct supervision.

  • Accurately prepare and submit all expense forms/reports in a timely manner, manage Purchasing Card (P-Card) and Corporate Travel Card reconciliations, process weekly check/cash deposits and respond to inquiries from accounts payable.

  • Gathers, compiles and verifies information on various departmental related activities and enters it accurately into documents for reporting purposes; including but not limited to, documentation for payment of Vendors, Suppliers and other Third Parties, HSE Compliance/Recordkeeping and recurring operational projects.

  • Completes incoming/outgoing mail requirements, including Courier Services and managing maintenance of the postage machine as applicable. Assist with managing the office supplies stockroom.

  • Performs associate functions as preparing correspondence, receiving visitors, arranging conference calls and scheduling meetings.

RESPONSIBILITIES

To be successful in this onsite role you will need the following:

  • Requires some work experience or intermediate level knowledge obtained through education, training or on-the-job experience.

  • Excellent customer service skills and the ability to effectively communicate in a positive and professional manner in person, over the phone and via email communications.

  • Ideal candidate will be detail-oriented with the ability to multi-task, take ownership and drive a project/task effectively and efficiently.

  • Proficiency in Microsoft applications required, experience in document management and invoicing preferred.

  • Please note, this position is 100% onsite at our Branch in White Bear Lake.

QUALIFICATIONS

  • High school diploma or certificate of completion of secondary education or equivalent experience to the extent such experience meets applicable regulations.

Please note that the salary range provided is a good faith estimate on the applicable range. The final salary offer will be determined after considering relevant factors, including a candidate’s qualifications and experience, where appropriate.
