Summary
We are seeking an Executive Administrative Assistant to support a Director on our Human Interface Design team within Product, Design & Marketing. This position requires a tenacious self-starter with experience in an executive assistant role within a dynamic high tech environment. We require that candidates have significant experience in assisting executives in current or past positions, who is resourceful, creative and solution oriented in ambiguous situations.
Description
You will support and assist a senior design leader and their team with administrative tasks. This includes heavy calendar management using Apple Calendar to organize daily calendars showing flexibility and problem solving abilities; adjust and prioritize schedules due to changes from conflicting meetings that come up the last minute.
You are savvy while regularly coordinating with other executives’ schedules and assistants, cross-functional teams across Apple.
You will be expected to balance and prioritize a wide range of projects and tasks simultaneously while working in a fast-paced environment, with impeccable attention to detail, accuracy, and timeliness
You work autonomously, take initiative, and complete tasks you are responsible for. You are creative, thoughtful, take problems and dissect it for solutions, better yet, you can foresee it coming and are three steps ahead.
You may answer correspondence and redirect as needed to teams within Apple.
You may set up large team meetings, organizing catering when needed and organize team off-site meetings.
You can expect to regularly arrange complex domestic and international travel and process expense reports as needed.
Facilitate office moves as needed for the team and help with general studio needs as they arise.
Minimum Qualifications
A Bachelor's degree, AA or equivalent experience
5+ years experience in a corporate environment supporting leaders with at least 2 years supporting Director-level or higher.
Ability to thrive in a fast-paced deadline driven environment while maintaining composure under pressure
Excellent written and verbal communication, comfortable communicating with senior executives and their teams
Very organized, has an exceptional response rate and flexibility to be available outside of business hours on occasion
Ability to exercise good judgment when exposed to highly confidential information
Ability to receive and act upon feedback to continuously improve processes and enhance efficiencies
Exceptional attention to detail and adept at anticipating needs or problems throughout the day or as a project takes shape
Preferred Qualifications
Able to thrive with little direction and an ambiguous work environment
Comfortable being an advocate for your decisions and can say "no" to support your executives's schedule when needed
Possess a foundational understanding of project management, other administrative responsibilities, and adept at proactively managing and setting expectations
Great reputation for working in a team environment and acting with integrity
Experienced at coordinating international and domestic travel and willingness to travel if required
Interest and creativity in building team culture and fostering a positive and productive work environment
Proficiency with Apple Calendar, Apple Mail, Apple Keynote, Quip, Slack, and other office systems and tools are a plus
