The Apple Music team is looking for an organized, ambitious and motivated individual with experience as an Executive Assistant.
Description
This role will support one Senior Director and four Director’s across Apple Music, while also overseeing overall team broad administrative initiatives. The highly motivated, well-organized candidate will be responsible for both general administrative tasks as well as some operational and project coordination activities. You'll quickly develop an understanding of the team operations, culture, policies and procedures; maintain calendars, travel, plan and execute offsite meetings for the different teams; have consistent interaction with top Executive Admins and Executives within Apple. Handle and maintain highly confidential and sensitive information; complete expense reports; assist in ordering equipment; work with finance on reconciling costs; on-board new employees; proactively manage team support. Travel may be necessary from time to time, both domestic & international, along with flexible work hours; evenings and weekends.
Minimum Qualifications
5 years + Executive Assistant and/or Administrative Assistant experience supporting multiple Entertainment, Music or Digital Media Executives
Experience in heavy calendar management in multiple time zones while planning, managing, and executing projects and events
Experience hosting talent and VIP guests
Deep experience building innovative decks in Keynote and creating presentations for senior executives
Direct experience handling sensitive and confidential information with integrity and discretion
Well versed in pop culture, music and are passionate about entertainment
Ability to be onsite; this role is an in-person, onsite position
Available to work nights and weekends along with traveling domestically and internationally as needed
Preferred Qualifications
Tried ability and experience in supporting executive level staff (daily schedules, travel, expenses, task management, facilities, conferencing, purchasing and day to day operations of their team)
Experience working at an entertainment network or studio with executives, producers, talent representatives and creative teams
Excellent organization skills, acute attention to detail, ability to handle multiple tasks in a fast paced and time sensitive environment
Demonstrates an ability to anticipate needs and changes, then react with the best interest of the business in mind
Efficient with Apple Programs, including iCal, Mail, Numbers, and Keynote
Ability to build and maintain positive relationships
Excel at working with complex and different personalities diplomatically
Proven track record of meeting deadlines and working under pressure
Manage all facility related requests, working cross functionally with the Facilities team and building representatives in both Culver City and Nashville
Eager and willing to take on new challenges
Ability to anticipate change and react efficiently and expeditiously
Bachelor's degree or equivalent experience
